The Office of CME provides logistical conference planning services for certified CME activities. Among those services are the following:
MARKETING
The production and delivery of marketing components requires effective coordination to ensure that the right message is delivered to the right audience at the right time. Our services include coordination of the following:
- Marketing plan – we work with the activity director and planning committee to define the most effective course promotion plan to reach your target audience. This includes establishing a promotional timeline to ensure effective reach within the program schedule.
- Mailing list procurement
- Save the date postcard
- Course brochures
- Design and distribution of all promotional materials
- Creation of journal ads and web site postings
- Email blasts
LOGISTICS
Coordination of logistical details to ensure smooth implementation of the conference:
- Identify venue
- Negotiate contracts for good and services
- Audio visual services
- Arrange for Catering
- Arrange for Lodging
- On-site management
- Poster presentations
- Vendor exhibits
FINANCIAL MANAGEMENT
Develop and monitor budgets on an ongoing basis to ensure the financial integrity of the conference:
- Develop estimated income and expense budgets based on course specifications
- Purchase services and goods
- Prepare commercial support grant request letters
- Submit on-line grant requests
- Facilitate review and approval of commercial support letters of agreement
- Manage exhibits
- Record and deposit all course income
- Review and approve honoraria payments
- Process honoraria payments
- Process speaker expense reimbursement
- Approve payment of invoices
- Process and record expenses
- Reconcile course income and expenses
- Prepare course accounting summary
FACULTY/COURSE CONTENT & MATERIALS
- Develop effective planning timelines
- Assist in identification of professional practice gaps and educational needs
- Assist in development of learning objectives
- Assist in selection of speakers and authors
- Produce and summarize evaluations
- Produce syllabus materials
- Produce course signage
REGISTRATION
- Process pre and on-site registrations
- Record and deposit all registration income
- Mail confirmation to participants
- Produce name tags and sign-in sheets
- Record CME credits and maintain transcripts
- Award CME credit certificates to physicians
