Outlook Personal Folders

  1. Open Outlook. Click on the Inbox.

  2. From the Tools Menu, select Services

  3. Click Add

  4. Scroll and select Personal Folders

  5. Click OK

  6. Create/Name your Personal folder file

  7. If you receive this Personal Folders window, click OK

  8. See Personal Folders in the Services window, click OK

  9. Click the Inbox button

  10. Verify that Personal Folders is listed

  11. Click the "Pin" to keep the window open
    folders11 

  12. Expand Personal Folders

Moving Items Into Personal Folders

Items may be moved into Personal Folders in one of two ways:

  • Drag and Drop method
  • Import and Export method

Drag & Drop Method:

  1. Select the folder under your mailbox folder that you want to copy to your personal folders.
  2. Right-click, hold, and drag the folder to the "Personal Folders" folder. Be sure that Personal Folders is highlighted.
  3. Release the mouse button to drop the folder.
  4. Select COPY.

Exporting Method:

  1. Click Import and Export from the File menu

  2. Export to a file, click Next

  3. Select PST, click Next

  4. Select the folder to export from - if there are subfolders, be sure to check that box

  5. Name the "Export" file, click the Browse button

  6. Browse to a location to save your exported file

  7. Name the file, click OK
    folders7a 

  8. Click Finish

  9. Click OK to the "Create Personal Folders" window

  10. See the files exporting window

Importing:

  1. Click Import and Export from the File menu.

  2. Select Import from another program or file

  3. Select Personal Folder file, click Next
    folders3b 

  4. Browse to the location of your exported file

  5. Highlight and click Open

  6. Click Next
    folders6b 

  7. Select the folder to import from – select Personal Folder – include subfolders

  8. Choose option #2, import items into the same folder in Personal Folders

  9. Click Finish

  10. See importing folders window
